HPHRMS Privacy Policy

HPHRMS is operated by HP Enterprise. This policy explains how information is handled when organizations and their authorized users use the HPHRMS website, portals and workforce-management services.

Information processed

Depending on the modules an organization enables, HPHRMS may process account details, employee records, contact information, attendance and leave records, payroll-related information, recruitment records, documents, project information, support requests, device or browser information, push-notification registration data, and location or camera data when a user actively uses an attendance feature that requires it.

Purpose

Information is processed to provide requested HR and workforce features, authenticate users, maintain security, administer subscriptions, support customers, produce authorized reports, and meet applicable legal or contractual obligations.

Organization-controlled data

For workforce data entered by a customer organization, that organization determines which records are collected and which authorized users may access them. Users should contact their organization for employment-record corrections or policy questions.

Location and camera

Where geo-fenced attendance is configured, HPHRMS requests device location for the punch-in or punch-out action so the application can verify whether the user is inside the configured worksite boundary. HPHRMS does not require continuous background location tracking for this attendance flow. Camera access is requested only for attendance or verification actions that explicitly require a user-supplied image.

AI assistant

HPHRMS includes HPAI, an AI-assisted feature. Messages submitted to HPAI and the minimum context needed to answer them may be processed by configured AI service providers. Users should not submit passwords, OTPs, secret credentials, or information they are not authorized to share. HPAI is permission-aware but AI-generated answers can be incomplete or incorrect, so authoritative HR, payroll, legal and policy records should be verified in the relevant HPHRMS module or with the responsible administrator.

Sharing and service providers

Data may be processed by infrastructure and service providers needed to operate HPHRMS, including hosting, database, private file-storage, notification, email/SMS and configured AI services. HPHRMS does not sell customer workforce records to advertisers. Information may also be disclosed when required by law or to protect the security and integrity of the service.

Retention and account deletion

Retention depends on the customer organization, enabled modules, contractual requirements and applicable law. A signed-in user can submit a self-service deletion request through the HPHRMS account deletion page; that path disables the user's sign-in access immediately while the request is reviewed. Signed-out users can use the same page to submit a neutral request for identity and organisation verification. Some employment, payroll, attendance, tax, statutory, security, audit, invoice or contractual records may need to be retained for the applicable period even after access is revoked.

Security

HPHRMS uses access controls, authenticated sessions, tenant-scoped application logic, transport encryption and operational safeguards. No online service can guarantee absolute security.
